Importing Data
This is the method for importing database information purchased from a third party, or otherwise created outside of PCRecruiter. It is very important that you create a blank database to import the new information into. If you import data to a working database and something goes wrong, you may permanently damage your existing data. Follow the instructions below for more detail.
Part 1: Import Companies
1) Go to the System Tab.
2) Click on Import/Export.
3) On the Import
Tab, select Import Companies (you cannot import names before
companies).
4) You will get the Company Import Specifications screen.
This screen is split into two halves: the upper portion (Import Field Definitions)
lists the company fields in PCRecruiter on the left, and 'Field Index' numbers on the
right; the lower portion (Import File Preview) is a preview by column of the information
in your imported file.
5) Click on the 'Open File' button at the bottom of the screen.
6) Locate your .mdb, .dbf, .csv or .txt formatted database file and open it.
7) The Import File Preview half of the screen will display all of the data
in the opened file by field in columns.
8) Start at the left side and begin to identify what the information in the
columns is.
9) In the 'Field Index' list in the upper portion of the screen, enter the
column number that contains the information for that field.
10) Enter a 'Field Index' number next to every field you wish to import to
the company records.
11) If you wish to import more files from the same source in the future, you
can save your import setup using the file menu.
12) When you have matched the column numbers with the proper fields, click
Import Now.
Part 2: Import Names
1) Now that you have the companies imported from your
database, you may place names with them. On the Import/Export screen, select Import
Names from the Import
Tab.
2) You will get the Name Import Specifications screen. Follow
the same process listed above, associating the columned data with the proper fields.
3) You will find a field listed called "#Company Name". You
must associate this field with the column that includes company names. PCRecruiter
will add the name records you import to the companies already in the database using this
field.
4) If you wish to import more files from the same source in the future, you
can save your import setup using the file menu.
5) When you have matched the column numbers with the proper fields, click
Import Now.
Part 3: Index Your Database
1) Quit all users out of PCRecruiter!!!
2) Go to the Utilities Tab from the PCRecruiter main
screens.
3) Select Database Maintenance.
4) You will be prompted about opening the database for exclusive access.
Choose "Yes".
5) You will be presented with the Database Maintenance
screen.
6) Find the database with the new information in the dropdown list and
select it.
7) Click Re-Index Database.
8) After Re-Indexing, you may begin copying the new records to other
databases.
