Choose this selection to set preferences for your local or network printer.  This will allow you to easily print most any information directly from PCRecruiter.

Recent Documents

This list will display the 10 most recent records viewed for easy navigation.  Click on any record in the list to return to it instantly.

Choose this selection to close the current window.

Choose this selection to close the Form Letter Editor.

 

Help

This selection will take you to the Help Documentation you are now reading.

 

Undo

Click this selection to Undo your last action if you have made an error.  You may also use the keyboard shortcut of pressing "Ctrl" and "Z" simultaneously to achieve the same effect.

 

Cut

Use this command to cut the selected text or item and place it in the Windows Clipboard.  Tip for Power Users: Instead of going to the menu, simultaneously press "Ctrl" and "X" on the keyboard to Cut.  Note that this is different than Copy, which leaves the selected text in place... Cut will remove it.

 

Copy

Use this command to copy the selected text or item to the Windows Clipboard.  Tip for Power Users: Instead of going to the menu, simultaneously press "Ctrl" and "C" on the keyboard to Copy.

 

Paste

Use this command to paste the selected text or item from the Windows Clipboard.  Tip for Power Users: Instead of going to the menu, simultaneously press "Ctrl" and "V" on the keyboard to Paste.

 

Copy to Clipboard

This feature pulls the name, address, phone numbers, email/web address, and job title from the current record and puts them in the Windows Clipboard for easy pasting elsewhere.

 

Export to Excel

Using this command will save the current record in Comma Separated Variables (.csv) format, which is the standard import/export format for databases.

 

Rapid Entry

This selection will take you to the Rapid Entry screen, on which you may add multiple individuals to the current company by simply typing in names one after another.  Each name will be kept with the same address etc.

 

Scripts

Not 'scripts' in the programming sense (Java, CGI etc.), but in the cold-calling sense.  Use this simple word processor to associate scripts for frequently used telephone dialogues with your records.

 

Import/Export Changes - Synchronization

Using these menu items, you may synchronize a mobile copy of your database with the main copy on your server.  For example, if you have a duplicate of your database on your laptop, you can work on it on a business trip, come back to office, and use 'import changes' to copy the new files from the mobile database to the server.  For more detailed information on this process, see the common procedures section.

 

Backup Database

Use this menu selection to create a backup .mdb file of your current database.  We recommend creating a backup (safety) copy of your database at least once a week.  The more often you create backup your data, the less of it you'll lose in the event of a major system crash.

 

Open RTF/Save RTF

RTF is Rich Text Format, the standard exchange format for text that includes coding for line breaks, bold, italic, and so forth.   Use these menu selections to bring RTF formatted text files into PCRecruiter, or to save them from PCRecruiter.

 

Set as Default Font

Use this menu selection to choose the current typeface as the default.

 

Find/Find Next

Use this feature to quickly locate a particular string of text within the resume you are viewing.  Once the program has found the word, you may use the Find Next selection, or F3 on your keyboard to jump to the next occurrence of that word.  Note that the program will turn up any extended form of that word (i.e. "lawyer" and "laws" if you type in just "law"), unless you have selected the Whole Word Only selection.

 

Whole Word Only

Selecting this item will force the Find command to only look for the exact grouping of letters you have typed in, and not any extended forms of the word (i.e. only "web" and not "webbed", "Weber" or "webdesign")

 

Select All

Use this command to select all of the text for making mass changes.

 

Change Company

Use this menu selection to switch to another company within the job order area.

 

New

Choose here to create a new form letter.

 

Page Setup

Select here to set the margins for your form letter.

 

Only Print With Complete Address

Checking this selection will prevent form letters from being printed for records that do not contain a complete mailing address.

 

Automatic Inserts

These are wildcard items which can be placed in your form letter, and will be filled with the correct information based on the record to which the letter is being sent.

 

Software Information Section

This area of the About PCRecruiter screen will display information about the software, including the version you are currently running, and who the copy is registered to.

 

System Info...

Click here to open Microsoft System Information and read a complete profile of your PC system.

 

Get Latest Update

Click here to download the latest update to PCRecruiter from http://www.pcrecruiter.com/update.exe.   Choose "Save this program to disk" and choose to save the Updater to the desktop of the server where PCRecruiter resides.  After the download has completed, log all users off of PCRecruiter and run the Updater.  For more information on Updating PCR, see the Common Procedures.

 

Register

Click this button to register your copy of PCRecruiter using the individual registration ID assigned to you by Main Sequence Technologies.  Be sure to hit Register! and not OK after entering your registration number, otherwise you will not be registered.

 

File Menu

Use this menu to configure your local or network printer, or to exit PCRecruiter.

 

Update Database

Click here to update the database with any new changes added to the installed version. Do not click the update button unless the version requires it, otherwise nothing will happen. Any required fields or tables will be installed into the database. You must update each database separately, and be sure that no one is using PCRecruiter during updating.

 

Compact Database

Compacting the database helps improve speed and performance. When you press the compact a copy is made on the local hard drive. Always re-index and backup the database before compacting it. You must have enough disk space on the local hard drive equal to the size of the database. If you do not have the space, you have to run the compact utility on the network server. An hourglass will appear. When the hourglass disappears, the compaction is complete. A backup of the most recently compacted database (execbob.tmp) will remain on the local computer in the PCRecruiter folder.  If the compaction fails, you can restore from this file.

 

Recover Database

When you compact your database, a backup of the database called execbob.tmp is created in the PCRecruiter folder on the local drive.  Use this menu selection to restore the database from this backup in case of a failure during compacting.

 

Bulk Email

Once you have a form letter open, you may send it to all members of a names or companies rollup list using this menu.   Members of the rollup who are without a listed email address will be skipped by the mailing.  To create a paper-copy mailing, use the Mail Merge menu.  Note that all bulk emails are sent "blind carbon copy," so that recipients see only their own email address in the header, as if the mail was only to them.

 

Mail Merge

Once you have a form letter open, you may create print copies of it addressed to all members of a names or companies rollup list using this menu.  Members of the rollup who are without a listed postal address will be skipped by the mailing.  To create a bulk email, use the Bulk Email menu.

 

Reindex Database

Occasionally your database will require some maintenance. Sometimes the database may become corrupt or disorganized.   Once a database is corrupt, the jet database engine will write a bit that prevents the database from being open, or in essence, further corrupted. At this point the database must be re-indexed (repaired). QUIT ALL USERS OUT OF PCRECRUITER BEFORE RE-INDEXING.   After running the re-index utility, the database can be opened.

 

Description

Enter the description (title) by which you want to recognize this database.

 

ODBC Driver

This should be 'SQL Server', and needs no editing.  Note that you must have the Microsoft software installed on the local workstation to use SQL.  Use WKSetup on the PCRecruiter CD to install the necessary drivers.

 

Network Type

Select the network type you wish to use.  TCP/IP is the fastest.  Other choices are IPX (Novell) and Named Pipes (Netbuoy, etc.)

 

Server

Enter the IP address of your database server.

 

UID/PWD

Enter the User ID and password for the SQL login here.

 

Database Name

This is the actual name of the database you wish to connect to the SQL server.  Note that this is different than the Description created above.

 

Encrypt SQL Connection String

Check here to encrypt the code used to connect to the server.  This means that no one can open your connection script and get the password for your database connection.  Be aware that if the password is lost, you will have to create a new connect string if you have encrypted the connection string.

 

User Name/Password

Enter your username and password here.

 

Database Selection

Click the drop down arrow to choose a database to connect to.  The dropdown will show all databases available.  If your desired database is not appearing in the list, try using the Data Locations section of the System Tab.

 

Code

All rollups are assigned a code by PCRecruiter based on the User and the number of previous rollups that user has.  You may edit this if you wish, but it is not necessary to change this number.

 

Description

This is the name by which you will recognize the rollup when you have to select it elsewhere in the program.

 

User Name

Enter the username of the user to associate this rollup with.  You should choose a user from a list by clicking the three-dotted dropdown button, so that the actual user record is associated with the rollup.   When you need to select this rollup later, all of the rollups on the system can be grouped by user for easy location.

 

Owner Name

Assigning an owner to a rollup list prevents any non-Admin user from editing the properties of that rollup or deleting it.   For example, if a rollup was marked as not shared, another user could edit the properties of that rollup list to make it shared in order to view it.  If the rollup list has an owner, this cannot be done by anyone but the owner, or someone with administrative security privileges.  This field is most often left blank, as unauthorized rollup list editing is not usually a concern.

 

Parent List

PCRecruiter will allow you to make sub-rollup lists.  If you wish to make this rollup list a sub-rollup, select the rollup it should be placed under in this field.

Enter any notes you wish to keep about this rollup list here.

 

Date Entered

The creation date for this database will be automatically entered by the program, but can be changed if necessary.

 

Share With Other Users

Check this box if you wish to allow anyone on the network to get to this rollup list.  When selecting rollups elsewhere in the program, you may select from a list of rollups for the current user, or from a list of all shared rollups.
