Use this menu item to close the PCRecruiter application.

 

Rollup List Search

If you have a large number of rollup lists, you may use this feature to locate a particular list with ease.  Use the dropdown list in the middle to choose how you wish to search (by description, user, parent, owner, date), then enter your search term into the field on the left and click "Find" (or hit return).  Once your desired list appears in the results area, click on it and choose "Select Item" to open it.  This search only deals with Shared Lists, and does not support wildcards (*) or partial word searching.

 

View Names/Activities

These menu items are only available when viewing company rollup lists.  When you select a company in the Rollup Match area, the View Window below it will show either the Activities or Names associated with that company, depending on which of these menu items you have checked.

 

Rollup Match

This area (upper portion of the Rollup Lists/Planner window) will display the contents of the rollup list you have chosen from the Rollup Selection dropdown.   You may left-click on any item in this list to view further details in the View Window (lower part of the Rollup Lists/Planner window), or right-click on an item to apply any action from the Options menu.  The field titles at the top of each column, when clicked, will re-order the records within the listing based on that field's contents... click the same field title again to re-order the list  in the opposite direction (descending or ascending).

 

Rollup Selection Dropdown

Click the dropdown arrow at the right of this box to select the rollup list you want to work with.  You may also click the three-dotted button next to the dropdown to search for a particular rollup list.  The choices available to you in this list will be dependent on which rollup type you select.

 

Rollup Type Dropdown

Use this menu to choose which type of rollup lists you want to work with: Company, Names, or Positions.

 

Next Button

Use this button to highlight the next item down in the rollup list.  This box also displays the current ordering of the list (for example, if the box displays 'Phone DESC', then the list is ordered numerically by phone number in descending order).  For more information on list ordering, see Rollup Match.

 

OK Button

Use this button to close the Rollup Lists/Planner Window.

 

View Window

This area (the lower portion of the Rollup Lists/Planner window) will display details about whatever item you have selected in the Rollup Match list.  Right-clicking on any activity in this list will present the option to edit or delete it, or to create a new custom activity for that record.  If you are viewing company rollup lists, and have chosen to View Names, right-clicking a name in this window will give you the option to jump to that name record or to add that name to another rollup list.

 

Scripts

Use this item to edit or create phone call scripts to be associated with a rollup list, or a single list item.  The script editor is a simple word processor that works much like the resume editor.

 

Options:Jump to record(s)

Use this option to go directly to the record for the currently selected item.

 

Options:Dial Phone Number

Use this option to automatically dial the phone number of the currently selected record(s) using the Windows Dialer.  You must have a TAPI compliant phone system attached to your computer to use this feature.

 

Options:Search List

Clicking here will open the Query Builder appropriate to your list... Names, Companies, or Positions.

 

Options:View

Use this option to view the resume, profile, and attributes/notes for the currently selected item(s).

 

Options:Action

When making calls to rollup list members, you may use this menu section to mark the calls as 'Attempted' (O), 'Closed' (Completed), 'Wrong Number' (Wrong Number) or to point towards results entered in a custom activity (Green Arrow).

 

Options:Priority

Use this menu section to mark the currently selected item(s) as High, Medium, or Low Priority.

 

Options:Stage

You may use this menu section to mark rollup list items as being at stage zero through nine..  Select 'Rename Stages' from section to assign a description to each stage.

 

Options:Clear Status

Use this selection to clear all Actions, Stages, Status and Priority markings from the currently selected item(s).

 

Options:New Activity

Choose this item to create a new activity for the currently selected record(s).

 

Options:Move/Copy to Another List

Use these options to place the currently selected item(s) on a different rollup list.  'Copy' will simply add the record(s) to the other list, while 'Move' will add the record(s) to the other list and remove it from the current one.

 

Options:Take Off List

Click here to remove the currently selected item(s) from the rollup list.

 

Clear Entire List

This option will remove all records from the current rollup list.

 

Utilities:Copy to Other Database

Use this option to Copy the currently selected record(s) to a different database.

 

Utilities:Delete from Database

Use this option permanently remove the currently selected item(s) from the database.  WARNING: This is NOT the same as Take Off List; this action will completely remove the selected record(s) from PCRecruiter, and you will be unable to get them back ever!!  If you wish to remove items from the rollup list, use 'Take Off List' from the Options Menu.

 

Utilities:Change Company

Use this item to move the selected items(s) to a different company within the database.

 

Report:Print List

Click here to print out the complete rollup list.

 

Report:Print List w/Activities

Use this selection to print out the rollup list including all activities associated with the included records.  You may limit the report to include only activities completed in the last month or the last three months.

 

Report:Print Mailing Labels

Use this function to create mailing labels for all selected items.  When viewing a names rollup list, you will be able to print labels that are addressed to the individual, or to the company with "Attn:Individual's Name" included in the address.  The default mailing label is Avery (5160). Thirty labels per page. Custom label formats are available. You can use Microsoft Word or another word processing program to mail merge labels or form letters.  'Print Mailing Labels' is not an option for Positions rollup lists.

 

Report:Create Resume Grouping

Use this menu selection to export the resumes of all selected items in the rollup to your word processor.  Each resume will be created as a separate document.

 

Export:Export List

Use this item to export the contents of the current rollup list in Comma Separated Variables (.csv) format.  CSV is the standard import/export format for database information.

 

Attach:Attach Activity

This menu option will allow you to attach an activity to all selected records simultaneously.  Please note that you will not see the change in the View Window until you close and re-open the Rollup Lists/Planner screen.

 

Rollup List Selector

Any time you click on a "Hot!" button in PCRecruiter, you will be taken to this screen.  The current record will be added to whatever rollup list you select.  If you are on a screen with more than one record available (as with search results), you will be prompted by the program to choose either the current record or all currently available records for adding to the rollup list.

 

Rollup List Search

Begin typing in this area, and the rollup selection area will jump to the closest spelled rollup list title.  You may also type in a word that you wish to search the rollup titles for and hit "list" to find it.   Use the asterisk (*) as a wildcard in your searches (for example, to find all rollups including the word "calls," you could type " *calls " into the search box).

 

Listing Type

Rollup lists can 'belong' to a single user or they can be shared with everyone on the PCRecruiter system.  Use these buttons to select the lists you want to see... only those for the current user, or all lists.

 

Cancel

Click here to close the rollup selection window without adding any records to a list.

 

OK Button

Click here to add records to the currently selected rollup list.  The same effect is achieved by clicking on the name of a list and choosing the "Select Item" button that will pop up.   If you are on a screen with more than one record available (as with search results), you will be prompted by the program to choose either the current record or all currently available records for adding to the rollup list.
