Its update time again for PCRecruiter owners. Many new features this time.

Before we get to the details, this time we are reversing the usual order and talking about BACKUPS first.

We have seen just too many cases of people cruising along without a backup lately. This is something that MUST not go on. If you don't know what you would do if your system crashed, step by step, right now, there is something wrong and you MUST fix it.

You need to know where the backup files are, and what they are named, and maybe, actually restore one to KNOW that you can. Access files can be cut and pasted like any other file, and there is simply NO EXCUSE not to have some copies on other hard drives or tape. If you want to know the size, name, and location of your database file, simply hit HELP/ABOUT on PCR and it will show you. Copy that file to a safe place OFTEN.

If you are SQL, then ensure that you are getting a .BAK file made and in a safe place. SQL will make the .BAK file by itself and all you need to do is get it on a tape or copy and paste it. If your server is not making .BAK files or you don't know where they are, you'd BETTER FIND OUT IN A HURRY.

Owners, this is not our responsibility nor can it be. If you run your Caddy or Benz out of oil and it blows, whose problem is it?

We hate to carp like whiners, but too many of you have faith in your hard drives that is not warranted and we don't want you to learn the hard way. Lets put it this way: after one loss or close call, people NEVER miss another backup. Its one of those moments in life that you are better off not having.. And, FINALLY, to the software.

One major new change is the E MAIL MANAGER. The Email manager allows for management of inbound emails from multiple users within the PCRecruiter database.

Any Email that has been marked as read from your inbox (for example, the "inbox" within Microsoft Outlook) will automatically be imported into PCRecruiter when you hit the import e mail button. If you are networked, this will allow you to share important (i.e. business) emails with other users of PCRecruiter.

The Email Manager can search for imported Emails by date, email address, sender, subject, user name, and "email body" keywords. All imported emails that have addresses that already exist inside PCRecruiter (name or company record) will be available for viewing by clicking directly on the email address on a name or company record. For example, if you would like to see all the emails a particular candidate has sent you, all you have to do is go to his record and click on the email address. This will open the Email Manager and display all emails that person has sent you.

One thing to be aware of is that PCR can only empty your INBOX, because no other folders can be opened via MAPI. So be sure to MOVE any offending or personal e mails in any inbox that feeds PCR. If you don't, they will appear to all users. You can disable the EMAIL manager by checking off a permission on user Records.

Another major new feature is the GROUP SCHEDULER This is an add on to the main schedule screen. When you hit file/ group schedule you will get a grid that shows the time and all the users on the system. When blocks have a color and a number, they show that people have one or more items on their schedules for that time. When you click the block, it will show the text of the item in the screen below. You can set the date you want to look at at the top of the screen. If you want to schedule an item for several people at a time, click in the grid at the time you want the event to start, and you will get the user list and a box to type the note in. Type the note, select the people you want to schedule, and hit OK. It will add it to all of their schedules at once. This one is great for sales meetings, group interviews, and an easy eyeball of busy times for the team. It will also alarm them all if you check the alarm box when you make the group activity.

Another nice new feature is two new sendout types. There is now presentation, and declined. Make a presentation sendout when you have presented a job to a candidate. This will note it in the candidate file, the company file, and the hiring authority file (be sure you have the user record set to copy job activities to job order contacts) This will help in tracking who has been pitched what and when. The sendout type for declined is for when the candidate does not want to even interview with a company. This helps to count rejections and can inform a firm when a job is not looking very attractive.

Also new is an ALL ACTIVITY report from the audit report screen. This tallies all the user activities at once. You can assign weights to each activity if you want a score that is more meaningful to your way of doing business. Be SURE you are aware of the date range when you hit ALL, because you are counting all activities for all users and it could take some time.

New on the rollup lists is the ability to hold your columns once you have changed them around. In the past, they would reset when you restarted PCR. If you mess em up and cant fix them, go to file/restore column defaults, and it will reset them to the way they ship with PCR. You may also, as of version 531, simply type the first few letters of the list you want into the "no list selected" window, and it will find it fast. One other small change is that you can now sort the lists by user and date created. To do this, hit the three dotted button between the "no list selected" window and the "names/companies/jobs" dropdown and select the sort method you want.

Another new feature is the REVENUE BOARDS. This gives you a way to track your sales board by user, or to make a sales board for each team, or to save them over time. You can get to them via the report menu on the main screen. Adding a new one is just like adding a rollup list. This one is pretty self-explanatory once you are on it.

The last major change this time is the auto post to RON (recruiters online)

Now, to code a job for RON, all you need to is hit "details" on a job and then drop the top dropdown to RON fields, and then you can code the job. Go to export to online services under the file menu, and you can shoot a completed rollup list of jobs directly to RON.

Small items abound. Now you can use the ADDR control on an existing record. You can now print a search result list right from a search screen. You can limit form letters to only those with complete addresses.

There are several new themes on our website, and the support database is getting some very good information in it. We also have some automated installers on the new CD's we issue, and the Thin Client is due for a major update in the next few months.

Here at Main Sequence we have installed our 500th customer and we have kicked our media program into high gear. You can find our banner on Exicte, Lycos, Hotbot, Yahoo, Northern Light, Vault, RON, and other leading web portals. Many of our competitors are showing no signs of life and some others have gone to web centric products. We may as well someday, but its looking pretty good right now for the best Windows recruiting software in the world!
