About the Role

We’re looking for a Billing Specialist to own our billing operations and serve as the primary point of contact for all client billing matters. This is a customer-facing role where accuracy, professionalism, and proactive communication are essential. You’ll work closely with our bookkeeping team to keep financial records clean and act as a trusted resource for our clients.

What You’ll Do

  • Handle Billing Inquiries: Be the first point of contact for all billing questions via phone, email, and chat. Resolve concerns quickly with professionalism and empathy.
  • Manage Invoicing & Payments: Generate accurate invoices, process payments, and set up billing arrangements or payment plans as needed.
  • Maintain Client Accounts: Process account changes including upgrades, cancellations, and user modifications keeping everything documented and up to date.
  • Reconcile Discrepancies: Identify and resolve billing errors before they become problems. Coordinate with the bookkeeping team to ensure financial records stay accurate.
  • Stay on Top of Receivables: Proactively follow up on outstanding invoices. You don’t wait for things to fall through the cracks.

What You’ll Need (Required)

  • Previous experience in billing, accounts receivable, or accounting support
  • Exceptional phone presence and clear, professional written communication
  • High accuracy with financial data and a sharp eye for catching errors
  • Comfort working independently in a fully remote environment with minimal supervision
  • Strong judgment and the ability to manage competing priorities without hand-holding

What Will Set You Apart (Preferred)

  • Experience with invoicing or accounting software (e.g., QuickBooks, FreshBooks, or similar)
  • Familiarity with ticketing systems or help desk tools
  • Understanding of basic accounting principles (debits, credits, reconciliation)
  • Experience in a SaaS or subscription-based billing environment
